Running a Guest House in Ghana: The Front Desk, the Folio, and Getting Paid for Everything the Guest Used
Rooms are the easy part. The money leaks in the bar tab nobody wrote down and the room sold twice. Here's how a small hotel keeps its front desk honest.

A guest house looks like a simple business. You have rooms, people pay to sleep in them, and at the end of the month you count what came in. In practice, the room rate is the one part that rarely goes wrong. The money disappears everywhere else — in a bar tab nobody wrote down, a late checkout nobody charged for, a room sold twice on a busy weekend.
None of that is dishonesty. It's what happens when a stay is recorded in three places at once: a booking in a diary, a room key on a board, and a drinks tab on a scrap of paper behind the bar. Nobody is holding the whole picture.
Stop selling the same room twice
Double-booking is the most expensive mistake a small hotel makes, because you don't just lose the room — you lose the guest standing in your reception at 9pm with a confirmation. It happens when availability lives in a book that only one person is looking at.
- Keep one availability calendar that every reservation is written against.
- Let it refuse a booking that would overlap, rather than trusting someone to notice.
- Take direct bookings through your own page so they land in the same calendar, not in your inbox.
- If you list on Booking.com or similar, keep that availability in step automatically.
The folio: one running bill per stay
This is the idea that changes a guest house's numbers. When a guest checks in, you open a folio — a running bill for the whole stay. Everything they spend goes on it, as it happens, attached to their room.
- Check the guest in and open the folio against their room.
- Charge the restaurant, the bar and the shop to the room as the guest uses them.
- Every charge lands on the folio the moment it's made, not at checkout from memory.
- At checkout, settle the whole folio in one payment.
The difference is not administrative convenience. It's that the drinks a guest had on Tuesday night are on the bill on Thursday morning, because they were recorded the moment they were poured — not reconstructed by a staff member who wasn't on that shift.
Housekeeping is a revenue problem, not a cleaning one
A room that's been vacated but isn't marked ready is a room you can't sell tonight. When housekeeping works from a live list that updates as guests check out, the front desk always knows what's actually sellable — instead of phoning upstairs to ask.
A restaurant inside a hotel is still a restaurant
Plenty of Ghanaian guest houses run a proper kitchen and bar that also serves walk-ins. That side should work like any restaurant — tables, orders to the kitchen, its own stock — while still letting a resident guest say 'put it on my room'. One business, two ways of being paid.
Guests don't dispute the room rate. They dispute the things you tell them they had but can't show them.
MerxumOS runs hotels and guest houses end to end — a reservation calendar that won't double-book, folios with charge-to-room from the restaurant and bar, housekeeping status, and a direct booking page of your own. See how it fits at merxumos.com/industries/hotel.
